Challenges

The leading franchise chain for premium Italian casual dining in the German-speaking region is scaling fast — from over 200 restaurants in nine countries toward a stated goal of 500 by 2030. A finance architecture that can carry that pace was not an IT question but a strategic decision. A franchise system of this size multiplies every finance-side inefficiency by the number of its locations: every manual reconciliation step, every inconsistent interface, every country-specific workaround occurs not once but hundreds of times.

The core question was therefore not "which software is best?" but: which finance architecture can carry a doubling to 500 restaurants — across countries, currencies and franchisees? 



Solution

This was run as a transparent decision audit — the full option space made explicit, criteria weighted before the systems were examined, and every rejected alternative documented.

Four system categories were assessed: extending the existing solution (the status quo as a deliberately tested zero option); the finance module of an integrated ERP suite (maximum integration depth, but bound to one system's roadmap); a cloud-native finance platform (high scalability and API capability, but with its own standardisation and migration effort); and a best-of-breed combination (maximum functional depth, but growing interface complexity). Criteria were fixed and weighted before the assessment, so they could not be bent to a preferred answer afterwards; for each rejected option the reasons against it were documented — none of the providers was unusable as a whole, they simply did not meet the set thresholds on the specific requirements.

The decision went to an international solution, together with two commitments that matter more to realisation than the system choice itself. First, standardised, binding connectors and APIs across all locations — the uniform interface architecture, not the system alone, is what produces the efficiency gain; on this basis a reduction of more than 24 per cent in manual finance work is projected. Second, enablement workshops for the finance team — the best architecture fails if the team does not carry it, so the workshops translate the decision into lived working practice.

The 24 per cent is the result of the selection analysis, not a post-hoc measurement, and is therefore labelled a projection — to be checked against actuals after twelve months.
